OFFICE POLICY MANUAL
3/23/2005Welcome back to the backdoor portion of our site, the agent's area. Remember, this is OUR area of the website. The "File Control Zone" will be fully operational before April 15, 2005. From time to time, I will give you updated policy information, or for example items such as a little twist in modifying a contract that has a flaw in it (we meet periodically with other brokers to discuss issues and contracts, this is to help you benefit from that information). In the near future, I'm hoping to start using this area to review your file pages, keep us both current in your transactions, etc. (still building the client area, at some point, your clients will be able to follow along too). Also, the office policy manual is here. The first time you read this, I'd like for you to take a few moments to review the simple rules and policies. All are designed to keep all of us out of trouble, and are all absolutely common sense. Just click the links shown to get started, each page will have a following link, about ten minutes reading, but always here as a reference. The links at the left are NOT all the same as in the public website. Please look around the site... USE this site! I spent hundreds of hours and many dollars making it work as well as it does. We're never going to pull business in from the internet, as the internet is really a global marketing tool in that manner, but we can *push* clients to the site. There are many tools for their use here. One thing is that every segment of a real estate transaction is explained here. If your clients will take a few minutes and read the website, many of their questions will be answered - all designed to make less work for you in the long run. If you see any errors here, or a link isn't working, feel free to send me an email. You are advised to consider using your cell phone number instead of the office line on your business cards and advertisements/flyers. The reason is simply that we have no way of forwarding those messages - except when I happen upon them, which may be days after the message was left. Your business cards should be looked over by me before you send them out for printing, but we are fairly liberal in design flexibility, as long as the card doesn't say "realtor" (because we're not members of the board, ask me) and has our logo somewhere on there, we'll probably be happy. Also, please use your home address or P.O. box for ALL your mail, unless it can't be delivered to a residence, in which case, figure something else out! I simply can't mail out everyone's mail to them that comes here. Make sure the board has your HOME address and sends your mail there. One thing that is going to have to change will be the methods and means we contact each other. People, you are going to have to check your email at least every other day. I simply can't call everyone each time there is something to discuss. Any "emergencies" (this isn't heart surgery, I don't know any true emergencies in our business) will still have to go the old fashioned route and make a call... but I have to be able to depend on each of you to read your email. If anyone has a problem with this, please let me know right away, because I'd like to start using that method almost immediately. I need updated email addresses from everyone as soon as possible. We are going to all need to be more efficient with our time with upcoming events (from what I know of your lives and my life!), and we simply must make things work through a "systems" approach. I'd urge you all to read Terri Murphy's, "Listing and Selling Secrets". In a recent seminar I attended, Terri was literally going crazy on stage trying to get this "systems" message across. I am a believer in this way of processing, and I am personally putting this idea to work at every level of my business. All this means for now is that I'd like everyone to please check their email every other day at least. I check mine almost everyday, and even when I'm out of town. If you're interested, I can show you how to forward your email to servers that you can view while out of town also. The physical Los Alamitos office will be closing May 1, 2005. We will be operating an on-site office at our development project after that time. I simply can't be in two places at once, and there is no reason not to go ahead and make the switchover to all agents working from home and using our internet based tracking system from this point forward. There may be new physical offices in the future, but again, the reason your splits are so high is that you are expected to provide your own office space! There will be a more formal bulletin explaining procedures on the switchover. Simply put, you will not change much! You will start each new transaction by coming here to the agent's area of the website, and clicking on "File Control Zone". A page will open up asking you, "What would you like to do? - A) Open a new listing file, B) open a new buyer escrow file, c) open a new loan file. There will be a series of check boxes with all items required to complete the transaction. In some cases, you will fax the documents to the office, in others you will fax the documents to the transaction coordinators... but that is it! No more files to worry about, we'll take care of the files on this end. More to come on this soon. Howard Farwell is leaving the position of partner in the firm and returning to being an agent with the company as of May 1, 2005. He just has other things going on with a new baby and too much work to do. Soon, this month we hope, Randy and Sheila Hanson will finally get their licenses from the DRE and have signed with our company! Welcome Randy and Sheila! These two have alot of experience in multi family stuff in their own personal dealings, if you have any questions. Now that we won't have a central meeting place (that none of you used anyway) we will do alot of communication by email and cell phone, please let me know if you don't want the other agents to have your cell phone number, all agent's email addresses will be given out. There are new training manuals with CD video discussions for your use. We have alot of training material available, and new agents will need to see most of it, and we recommend existing agents consider spending some time training as well. Please make sure I have your latest and most updated license in the office. I must now maintain all original licenses. That's it for now.
